How to Configure Recruiting Email Settings

BerniePortal’s Recruiting Email settings let you customize the automated applicant welcome email and control who gets notified when candidates apply. This is separate from reusable message templates used when the hiring team messages a candidate—those are covered in How to Create and Edit Message Templates.

Who can manage Email settings

You can open and change Recruiting Email settings if you are signed in as the employer. Recruiting feature administrators and hiring team members do not have this Settings page.

To open Email
  1. Sign in to BerniePortal as the employer.
  2. In the top navigation, select Recruiting.
  3. In the secondary (sub) navigation under Recruiting, select Settings.
  4. In the Settings sidebar, select Email.
To customize the applicant welcome email

Every candidate who applies receives an automated welcome email. A default template is used until you save your own.
  1. Edit the message body in the text editor.
  2. Optional: use the Insert control to add merge fields BerniePortal fills when the email is sent for a specific candidate and job:
    • Candidate First Name
    • Candidate Last Name
    • Candidate Full Name
    • Job Title
    • Job City
    • Job State
    • Employer Name
  3. Select SAVE. A Message Saved! confirmation appears when the update succeeds.
  4. Optional: select CANCEL to discard unsaved edits and reload the last saved (or default) message.
After you save, future welcome emails use your updated content.

To enable or disable new-applicant notifications

Interested parties receive notifications only when a Notification option is checked in the Interested Party column. Changes save when you select or clear a checkbox—there is no separate save for this table.
  1. In the Notification table, find the option you want:
    • Email when a new applicant applies to a position — interested parties are emailed each time a candidate applies.
    • Email once a day if there are new applicants — interested parties receive a daily summary of new applications.
  2. Select the checkbox in the Interested Party column to turn that option on, or clear it to turn it off.
  3. You can enable either option, both, or neither. Leave both unchecked if interested parties should not receive these emails.
To add an interested party

People listed under Interested Parties receive the notification options you enabled above.
  1. In the Interested Parties table, enter a Name.
  2. Enter an Email.
  3. Select Add.
To remove an interested party
  1. In the Interested Parties table, find the person to remove.
  2. Select Remove.
