How to Create and Edit Message Templates
BerniePortal’s Recruiting feature lets you save reusable message templates for candidate messages—for example interview invitations, status updates, or rejection notes. When someone on the hiring team messages a candidate, they can choose a template from the Template dropdown so the message body is filled in consistently.
Templates are managed in Recruiting Settings. Using a template when you message a candidate is covered in How to Message a Candidate.
Who can manage message templates
You can create, edit, and delete message templates if you are signed in as:
- The employer, or
- A Recruiting feature administrator
Hiring team members can select existing templates when messaging candidates, but they do not manage templates in Settings.
To open Message Templates
- Sign in to BerniePortal as the employer or a Recruiting feature administrator.
- In the top navigation, select Recruiting.
- In the secondary (sub) navigation under Recruiting, select Settings.
- In the Settings sidebar, select Message Templates.
To create a new template
- Select ADD A NEW TEMPLATE.
- In the Add new message template dialog, enter a Title. This is the template’s display name in the list and in the Template dropdown when messaging—it is not the message Subject line. Candidates still receive whatever Subject the sender enters when creating the message.
- Enter the message body in the Text field.
Optional: use the Insert control in the text editor to add merge fields that BerniePortal fills when the template is used for a specific candidate and job:
- Candidate First Name
- Candidate Last Name
- Candidate Full Name
- Job Title
- Job City
- Job State
- Employer Name
- Select SAVE.
To edit a template
- On the Message Templates page, open Actions for the template.
- Select Edit.
- Update the Title and/or Text as needed (including Insert merge fields).
- Select SAVE.
To delete a template
- On the Message Templates page, open Actions for the template.
- Select Delete.
- In the Delete Template confirmation, select Delete.
Important: Deleting a template cannot be undone. Messages already sent with that template’s content are not removed.
