Organizing your 1094/1095 Forms

Organizing your 1094/1095 Forms

Before you start with e-filing, it’s important that you configure your 1094 subgroups in BerniePortal. Typically, each FEIN under which your employer pays its employees will be its own 1094 subgroup. So if you only have one FEIN, then this step will be very easy!

If your 1094 subgroups are created successfully, you will need to confirm that all employees are assigned to the 1094 subgroups.

Click on “Employees”, and sort by subgroup based on “1094 - Not assigned”. This will show you anyone not assigned to a 1094 subgroup.

If everyone is assigned, you will see the following:

If employees are not assigned, make sure to assign them to a 1094 subgroup. You can do this individually for each employee, or you can mass-assign employees into 1094 subgroups. We will review this in the next step below.

If you are missing 1094 subgroups, you will need to create or edit a 1094 subgroup. Go to “Account” and click on “Subgroups” on the left-hand menu, as shown below:

You will see your current 1094 subgroups. Click on “Add a New Subgroup” and select “1094”.

Once you have added all your 1094 subgroups, you will need to assign employees into the correct 1094 subgroups. Click on “Assign/Move Employees” and move employees into the correct 1094 subgroup by checking their name and clicking the right arrow, as shown below:

For any employees not in BerniePortal who need to be added and assigned to a 1094 subgroup, that can be done by completing the employee census (1095-B Census or 1095-C Census).

Your next step will be to configure 1094-B/1095-B forms or 1094-C/1095-C forms!
