Generating Forms and Submitting for E-Filing

After you confirm employee information on the List tab, generate PDF forms, download them on the Forms tab, and—when you file through BerniePortal—submit them for e-filing. Generating creates the PDF files. Submitting for e-filing is a separate step that notifies BerniePortal to e-file with the IRS and mail copies to employees.

Who can generate forms and submit for e-filing

An Employer with Benefits, or a Feature Admin who can administer 1095, can complete these steps. Global Admins working in an employer account use the same screens.

Before you start

Complete these steps first (do not repeat them here):
Generate PDF forms

Generating creates the 1094 and 1095 PDF files. It does not submit them to the IRS.
  1. Open the top navigation and select 1094/1095.
  2. Open the secondary tab List.
  3. In the header actions area (next to Add Employees), select Generate Forms.
  4. In the Generate PDF Forms window, confirm Please select a report year.
  5. Under Please select the Employer to generate forms, choose the employer (1094 subgroup) from the list. If you have more than one option, generate forms separately for each.
  6. Read the perjury declaration, sign in the signature box, then select Generate PDFs. Select Cancel to close without generating.
BerniePortal creates the PDFs and opens the Forms tab. Repeat for each employer option you need.

Download forms on the Forms tab

After PDFs exist, download them from Forms.
  1. Open 1094/1095, then open the secondary tab Forms.
  2. Under ACA AIR Files for [year] year:, select a file name in the File Name column to download it. The table also shows File Type, File Generation Date, and File Size.
If no PDFs exist yet, the page shows Sorry, you have to generate a PDF first.

Submit for e-filing

Submitting for e-filing is separate from generating PDFs. During the IRS filing period (January through March), the Forms header includes Submit For E-Filing. Outside that period, the Forms page is for viewing and downloading only.
  1. Open 1094/1095, then open Forms.
  2. Select Submit For E-Filing.
  3. In Confirm You’re Ready to File, review the confirmation text, then select Yes, Submit for E-Filing. Select Cancel to close without submitting.
After a successful submission, Forms shows Submitted for E-Filing on the submission date. BerniePortal e-files on your behalf and mails employee copies.

If some steps aren’t finished

Selecting Submit For E-Filing can open Some Steps Aren’t Finished instead of the confirmation:
  • 1094/1095 subgroups have not been configured yet. Select Go To Subgroups, finish subgroup setup, then return to submit.
  • You haven't generated any forms for the [tax year] tax year. Select Go To List, generate PDFs, then return to submit.

If you chose File Independently

If you selected File Independently / Continue with Independent Filing, you can still use Generate Forms and download PDFs on Forms. You cannot complete BerniePortal e-filing submission while that choice remains—selecting Submit For E-Filing prompts you to sign up for e-filing through BerniePortal instead.
