Time and Attendance Subgroup Settings - Timesheet Due Dates, Projects, and IP Addresses

BerniePortal's Time and Attendance subgroups allow HR administrators to apply specialized time tracking configurations to different employee populations. This flexibility ensures that diverse workforce needs—such as varying pay periods, project requirements, and location restrictions—can be accommodated within a single system.

To access:
  1. Log in to BerniePortal as the employer
  2. Select “Time” in the top navigation menu
  3. Select “Subgroups” in the secondary menu
  4. Select the desired subgroup in blue

Timesheet Due Dates
Configure when the workweek closes for timesheet submission. Align this setting with employees' pay periods for optimal workflow management.

Best Practice Example: For weekly pay periods running Sunday through Saturday, select Saturday as the due date to match the payroll cycle.

To configure:
  1. Select "Due Date" in the left-hand menu
  2. Choose the appropriate weekday from the dropdown menu
  3. Select “Save” to finalize

Projects (Optional)
Enable project-based time tracking to allow employees to categorize their hours by specific activities, clients, or departments. This feature provides valuable insights into resource allocation and productivity metrics.

Check out this article to learn more about Projects and how they can be added for subgroup application!

To add projects for a subgroup:
  1. Select “Projects” in the left-hand menu
  2. Check the boxes for projects that should be available to this subgroup's employees
  3. Select “Save” to finalize

IP Address (Optional)
Enhance security and ensure location compliance by restricting time clock access to specific IP addresses. This feature is particularly useful for organizations requiring employees to clock in from designated locations.
To configure:
  1. Select “IP Address” from the left-hand menu
  2. Enter the desired IP Address in the “Add an IP Address” field, then select “Add”
  3. Repeat to add multiple IP addresses as needed
  4. Select “Save” to finalize

Note: Employees must be placed in a “Time and Attendance” subgroup in order to clock in and out via BerniePortal. Check out these articles on how to change employee subgroups individually, or en masse.
