Employee subgroups control which benefits and premiums, PTO balances, billing locations, and other feature settings apply to each person. Update a subgroup when an employee moves to a different group—for example, a new Benefits subgroup after a promotion, or a different office billing subgroup.
Who can change subgroups
Employers can change subgroups for employees who have completed onboarding verification. Benefits Feature Admins can make the same change. Subgroup changes are blocked while auto-enrollment is running for the employer.
To change an employee's subgroup:
- Select Employees in the top navigation.
- Select the employee's name in the list.
- Select the Subgroups tab.
- In the Actions column for the subgroup type you want to update, open the actions menu and select Change subgroup.
- In the Change [type] subgroup window, under Select a new subgroup, choose the subgroup.
- Complete any additional fields that appear for that subgroup type (such as an effective date), then select Save.
Benefits subgroup changes
When you change a Benefits subgroup, the modal title is Change Benefits subgroup. Depending on the change, you may also need to:
- Under Select an eligibility subgroup, choose a Benefits Eligibility subgroup (required when moving into or between Benefits subgroups).
- Enter the effective date using the date field labeled for that scenario (for example, Effective date of benefits subgroup change?).
You cannot change a Benefits Eligibility subgroup directly from the Actions menu. Change the employee's Benefits subgroup instead, and choose the eligibility subgroup in the modal when prompted.
Moving an employee into or between Benefits subgroups places them in Awaiting elections so they can make benefit elections. Moving them to the none Benefits subgroup ends benefit eligibility (Not eligible).
