How to Complete Employer Portion of I-9 Onboarding Document
After an employee submits their I-9, an employer administrator or Onboarding Feature Administrator completes the employer portion. Global Admins signed in as the employer can also complete it.
To complete the employer portion:
- Select Employees in the top navigation.
- Select the employee's name.
- Select Onboarding, then Current Documents.
- Locate the I-9 with status Incomplete and (Employer information needed).
- Open the actions menu and select Complete.
- Select Download PDF to review the employee's I-9, and use the View Employee's "List …" Document links to review supporting documentation.
- Enter the required Documentation, Employer Information, and Certification fields. For Who will review this employee's documentation?, select Employer to certify yourself, or Authorized Representative to send the employee instructions for remote certification.
- Select Submit & send.
When you certify as Employer, the I-9 moves to Complete, the I-9 badge is removed from the Employees list, and the employee is removed from I-9 Certifications in TO DO.
If you select Authorized Representative, the I-9 stays Incomplete with (Pending remote certification) until remote certification is finished.
Other ways to open an incomplete I-9:
You can also open the form from TO DO on the home screen under I-9 Certifications (select the employee's name), or by selecting the employee's I-9 badge on the Employees list (opens Current Documents). For the TO DO path, see To Do - I-9 Certifications.
If the employer fields do not match the documents the employee should have used (List A versus Lists B and C), open the actions menu and select Request edit so the employee can correct and resubmit. See How to Edit Completed Onboarding Documents - Admin.
