For BerniePortal Payroll clients, W-2 and 1099 processing is included with payroll tax services. Employer Success coordinates year-end preferences, form generation, and mailing options.

Year-End Preparation

Starting in Q4, Employer Success reaches out to help you prepare. Typical actions include:
  • Review remaining payroll dates against banking holidays
  • Audit earning and deduction codes for correct taxation
  • Verify business and mailing addresses
  • Review a year-to-date payroll report for wages, taxes, and manual checks
  • Confirm company tax setup and applicable tax IDs with BerniePortal
  • Process bonuses, commissions, and fringe benefits by the year-end cutoff Employer Success provides
  • Ask employees to review personal information and tax documents
  • Complete the year-end questionnaire (W-2 preview and mailing preferences)

Form Generation Timeline

  • Submit all payroll information by the year-end deadline Employer Success communicates (commonly December 30) so generation can begin
  • W-2 hard copies are typically mailed mid-January
  • 1099 hard copies typically follow a few days later in January

Fees and Mailing Options

Form generation and mailing options have associated fees. Contact Employer Success or your account manager for current pricing and to choose whether forms are mailed to the employer or to individual employees.

Corrections

  • Contact your Payroll Account Manager promptly with the error details and correct information
  • Corrected W-2Cs are issued based on when the issue is resolved
  • Corrected or backdated forms and amended returns may involve additional fees

Employers remain responsible for the accuracy of payroll data processed through the system.
