Understanding Reverse Wires for Payroll

Some payroll clients are set up as wire clients, meaning payroll funding uses wire transfers instead of standard ACH debits. Within that group, there are two types: regular wires and reverse wires. Wire funding setup is handled by Employer Success and your bank — BerniePortal does not expose a wire-funding settings screen for employers.

Why a Client Might Be a Wire Client

Some clients are set up as wire clients due to challenges with the standard bank audit process required for ACH debits. Common reasons include:
  • The banking relationship is new and lacks the history required for an audit
  • There is a history of non-sufficient funds (NSFs)
  • The bank audit could not be completed because a bank contact was unavailable
In these cases, wire transfers are used instead of ACH to fund payroll.

Regular Wire vs. Reverse Wire

Regular Wire

With a regular wire:
  1. You submit your payroll
  2. A wire report is prepared for Employer Success
  3. You receive the wire report showing the exact amount to wire
  4. You initiate the wire for the exact amount from your bank
Timing is critical because you must send the exact amount before your bank's daily wire cutoff. If the timing or amount is off, payroll could be delayed.

Reverse Wire

With a reverse wire, your bank pulls the funds automatically based on the wire information provided. That removes the need to manually initiate and time each wire.

Reverse Wire Setup

Because reverse wires are set up on your bank's side, your bank handles setup. Keep in mind:
  • Setup takes longer than a standard payroll funding configuration — plan for extra time
  • You need confirmation from your bank that the reverse wire is set up
  • Your bank provides the account number and routing number to use for wires

Guidelines for Reverse Wire Clients

If you are set up as a reverse wire client:
  • Funds are drawn on a fixed schedule each day; when you submit payroll affects which draw applies
  • Payroll must be fully processed with enough lead time before the check date — confirm current cutoffs with Employer Success
  • Wire funding fees apply; confirm current fees with Employer Success
