How to Update Your Company Name in BerniePortal

If your business is changing its legal name for payroll, tax filings, and related records, notify Employer Success so those systems stay accurate. The path depends on whether you keep the same FEIN or receive a new FEIN.

Changing Employer Name under Settings → Account updates the display name in BerniePortal. That change alone does not update legal/payroll tax-entity records. Use the process below for a legal name change that must appear on payroll and tax filings.

Same FEIN, name change only

If you are keeping the same FEIN and updating the company name, provide legal documentation that reflects the name change. Acceptable documentation includes any of the following:
  • A letter or form submitted to the IRS notifying them of the name change
  • Any letter or notice from the IRS addressed to the new company name
  • A copy of the tax return where the name change was indicated to the IRS
Send the documentation to help@bernardhealth.com. Employer Success updates BerniePortal records and coordinates the corresponding payroll system updates. They will follow up if more information is needed and confirm when the change is complete.

New FEIN

If your business is receiving a new FEIN — for example, because the change is tied to a new legal entity — your group needs payroll implementation again. A new FEIN is a separate tax entity and requires new setup for tax filings, withholdings, and reporting.

Contact Employer Success as soon as possible so re-implementation can begin with minimal disruption to payroll.
