Creating and Configuring PTO Subgroups

BerniePortal’s PTO feature can be customized to match your organization’s PTO policy. 

  1. Select the ‘PTO’ tab in the top navigation menu. 
  2. To add a new PTO subgroup, enter the name of the subgroup, then select 'Add.'

  3. Select the name of the PTO subgroup you would like to configure. 

  4. ‘Configure’ tab:
  1. To adjust the name of the subgroup, type in the ‘Subgroup Name’ field. 
  2. Use the ‘Approach to Calculating PTO’ dropdown menu to select your organization’s PTO approach. Check out this article to learn more about PTO approaches in BerniePortal.

  3. Determine the length of your organization's work day by using the "work day length" drop down menu.

  4. Type your organization’s PTO policy information into the ‘Description of PTO Policy’ field.

  5. To import existing PTO subgroup information from another subgroup, select ‘Import PTO Data from Another Subgroup’ in the top right corner. 
  6. Select ‘Continue.’

'PTO Amounts’ tab (Annual Allotment Approach):
  1. Subgroup Holidays:
  1. Enter your organization’s paid holidays by toggling ‘Subgroup Holidays’ to ‘ON.’ Enter the holiday start and end date, then select ‘Add.’

  2. To remove holidays, hover over the action wheel to the right of the holiday and select ‘Remove.’

  1. PTO Days, Vacation Days, Sick Days, and Personal Days:
  1. Use the toggle icon next to each time off type to toggle the category on or off. 
  2. Determine if employees are given a flat amount of days, or if days are granted based on years of service. 
  3. If ‘Flat Amount,’ enter the annual accrual amount.

  4. If ‘Based on Years of Service,’ enter the years worked and annual accrual amounts in the respective fields, then select ‘Add’ to build out the accrual schedule.

  5. Determine if days should rollover.

  6. Determine if days are allotted based on employee hire dates, the calendar year, or your employer's fiscal year.

  7. Determine how days accrue, whether monthly, quarterly, or annually.


  1. Floating Holidays:
  1. Use the toggle next to ‘Floating Holidays’ to toggle the category on or off. 
  2. Determine if employees are given a flat amount of days, or if days are granted based on years of service. 
  3. If ‘Flat Amount,’ enter the annual accrual amount.

  4. If ‘Based on Years of Service,’ enter the years worked and annual accrual amounts in the respective fields, then select ‘Add’ to build out the accrual schedule. 


'PTO Amounts’ tab (Accrual Bank Approach):
  1. Subgroup Holidays:
  1. Enter your organization’s paid holidays by toggling ‘Subgroup Holidays’ to ‘ON.' Enter the holiday start and end date, then select ‘Add.’

  2. To remove holidays, hover over the action wheel to the right of the holiday and select ‘Remove.’
