Billing Rules - Knowledge Base | BerniePortal

Billing Rules

Billing Rules is a read-only modal in BernieBill. It shows how BerniePortal calculates the selected bill—payment timing, adjustments, proration, and other provider-specific scenarios. You cannot create or edit billing rules in BerniePortal; the text is documentation for that provider or bill type.

Who can view Billing Rules

Employer Global Admins and Feature Admins who can access BernieBill can open Billing Rules from a provider current bill page. Agency users with BernieBill active can open BerniePortal Billing Rules from Upcoming Bill.

Open Billing Rules on Current Bills

When your BernieBill secondary menu includes Current Bills:
  1. Select BernieBill in the top navigation menu.
  2. Select Current Bills in the secondary menu.
  3. In the left-hand menu, choose the provider whose rules you want to review (a carrier name, COBRA/Pre-Tax, BerniePortal, or BerniePortal Subscription).
  4. Select Review billing Rules on that provider’s current bill page.
The Billing Rules modal opens with the rules text for that provider. Rules differ by carrier and by BerniePortal / BerniePortal Subscription / COBRA/Pre-Tax bill type—open the provider you need rather than assuming one schedule applies to every bill.
If your secondary menu shows Upcoming Bill instead of Current Bills, that Upcoming Bill summary screen does not include Review billing Rules. For navigating Current Bills overall, see Current Bills.

What Billing Rules cover

The modal content is provider-specific. Depending on the bill you opened, it commonly explains:
  • Payment information — when the bill is due and when BerniePortal auto-generates the bill for that carrier.
  • Adjustments — how enrollment changes processed after a bill was already generated appear as premium adjustments on a later bill.
  • Proration and mid-month changes — how new hires, terminations, qualifying events, and age-based benefit reductions can affect premiums for that carrier.
  • Who is billed — for BerniePortal feature and subscription bills, which roles and subgroup assignments count as billable users for the period.
Use the rules text for the provider you selected as the source of truth for that bill’s schedule and calculation details. Employers do not manually generate bills—see BernieBill FAQs.

Agency Upcoming Bill

Agency users with BernieBill:
  1. Select BernieBill in the top navigation menu.
  2. Open Upcoming Bill.
  3. Expand the BerniePortal card if needed, then select BerniePortal Billing Rules under BILLING RULES.
The same Billing Rules modal opens with the agency BerniePortal subscription rules for your agency type.
  • Current Bills — review current bill status and provider pages where Review billing Rules appears.
  • Past Bills — previously generated invoices and downloads referenced in many billing rules.
